An assessment platform that lets you scale up with ease

Use folder-based permissions
and the Distribution Portal

As your assessment activities grow, structure and delegation become essential:

  • bullet orange

Folder-based permissions let you organize assessments at scale and control who can access or use them - without managing everything one by one.

  • bullet orange

When assessments are launched across teams, regions, or customers at the same time, the Distribution Portal lets you safely delegate invitations and follow-up, while you remain fully in control.

What can each type of Pointerpro user be involved in?

Workspace management and control

  • bullet orange

Administrators get full visibility and precise control over every workspace. They decide who gets access to which assessments, dashboards, or report templates - all via clear folder-level permissions.

  • bullet orange

Super Administrators sit one level above: they handle license management, assign Administrators, and safeguard the overall workspace, without accessing sensitive survey or report data themselves

The result: a secure, well-structured environment, even as your organization grows.

Assessment, dashboard
and report content contribution

  • bullet orange

Restricted members can work only on the content they’ve created themselves - ideal for novice creators or contractors.

  • bullet orange

Team members get broader access to edit assessments, manage contacts, and help with day-to-day assessment operations.

Each profile contributes safely within the boundaries set by the Administrator(s).

Distribution of assessments

  • bullet orange

Restricted members can only send invitations to assessments they own and have been allowed to share.

  • bullet orange

Team members can distribute assessments and manage contacts when permitted by the Administrator(s).

  • bullet orange

Distributors can create and manage customer accounts so they can distribute assessments via the Distribution Portal. Distributors can also send out assessment invitations themselves.

  • bullet orange

Customers can run their own campaigns inside the Distribution Portal, reaching their network without ever accessing your internal content.

Every role can distribute - but only within the permissions you define.

Engaging with assessments and results

  • bullet orange

Contacts can receive invitations to assessments and download personalized reports after completion. Optionally, they can get a Distribution Portal account to track pending invitations and download their reports

  • bullet orange

Restricted/Team members can see results on dashboards and download personalized respondent or aggregate reports, depending on permissions set by Administrators.

  • bullet orange

Reporting viewers get read-only access to dashboards, helping stakeholders see insights without touching the underlying data.

This keeps the end user experience clean and secure.

Double down on security by design with two-factor authentication

Protect your assessments and sensitive results by requiring an extra layer of verification for every team member.

2FA keeps your data safe while allowing your team to collaborate confidently and without interruption.

Example 1:
Classic assessment task force

This model keeps everything internal, streamlined and controlled.

  • bullet orange

Team members edit assigned assessments and reports. They can also manage contacts and automate email campaigns.

  • bullet orange

Restricted members are subject matter experts who can look into content, draft their own assessment versions, but cannot edit others’ content.

Example 2:
Centralized HR program

This clean internal workflow gives strong editorial control and safe data visibility.

  • bullet orange

Administrators are HR leads who create assessments (often to serve as templates for team members) and oversee the further process as they manage permissions.

  • bullet orange

Team members are HR officers and business unit experts who create and update assessments. They deploy them across departments and view results.

  • bullet orange

Restricted members are department heads who need dashboard insights but don’t need to edit.

  • bullet orange

Reporting viewers are department heads who need dashboard insights without editing

For larger companies, the same setup scales smoothly with the Distribution Portal, giving each region or business unit its own controlled space without adding extra admin work.

Example 3:
Customer success team assessing customer needs

This assessment workflow protects sensitive customer data while empowering frontline customer success managers (CSMs).

  • bullet orange

Administrators are CSM team leads who build content templates and manage default results dashboards, or build custom dashboards.

Example 5: Distributed partner
or reseller network

Pointerpro multi-user assessment tool FAQ

Yes. Pointerpro optionally supports Single Sign-On (SSO) for enterprise environments. As a professional service, our team can guide you through the setup to make sure everything aligns with your security requirements. You can connect your identity provider so users log in securely with their existing company credentials. Pointerpro supports common SSO standards and role mapping to ensure each user receives the right permissions automatically.

Pointerpro allows very granular access control. Administrators can assign per-folder and per-asset permissions for assessments, dashboards, and reports.

Users can be given No access, Read only, Share only, or All access depending on what they need to do. This ensures each person sees only the content relevant to them.

Absolutely. Respondent data stays protected through role-based permissions and folder-level visibility. Restricted members, for example, can help create content but cannot view results, while Reporting viewers get read-only dashboard access without touching any underlying data. This keeps sensitive information accessible only to those who need it.

It’s generally considered best practice to keep everything centralized on Pointerpro. Instead of exporting files or sharing data manually, you can simply assign external stakeholders the Reporting viewer role. This gives them secure, read-only access to the dashboards or results you choose - without exposing any editing features or internal content.

And just as a reminder: your respondents don’t need to be registered contacts. They can complete assessments completely anonymously or publicly, for example through an embedded assessment on your website or an open survey link , if you choose so.

Pointerpro scales through clean role management, folder-based permissions, and especially the use of the Distribution Portal (in the DistributR plan). Large companies can let departments, regions, or business units run their own campaigns - while central Administrators keep full control over templates, permissions, and data governance. And when you need help designing the ideal setup, our professional services team can partner with you to ensure everything is configured for long-term success.
